AVA Systems develops applications designed to collect only the minimum data necessary to function.
AVA Pro is a single app, available on iPhone, iPad and Mac from one purchase. On the Mac it presents as Mission Control. The two sections below describe how each platform handles data, since the specific information stored differs by device.
On iPhone and iPad, AVA Pro stores data such as patron information, seat details, and accessibility requirements. This data is stored in your own organisation's Apple iCloud account, using Apple's CloudKit private database, and remains under your organisation's control at all times.
AVA Systems does not access, collect, or store this data externally. This is a property of Apple's architecture rather than a policy commitment: CloudKit private database contents are not accessible to application developers, so AVA Systems has no means of viewing, retrieving or deleting them.
The app contains no analytics frameworks, no crash-reporting tools and no third-party tracking libraries. It communicates with Apple's iCloud services and with no other network endpoint. There is no AVA Systems server.
Your organisation is the sole data controller for this data. AVA Systems is neither a controller nor a processor in respect of it.
On the Mac, the same AVA Pro app presents as Mission Control and stores venue configuration data including show schedules, staff details, seat maps, and performance briefings. This data is stored in your own organisation's Apple iCloud account, using Apple's CloudKit private database, and remains under your organisation's control at all times.
Seat map files selected by the user are read once and uploaded to the organisation's private iCloud database. No ongoing access to device files is retained after upload.
AVA Systems does not access, collect, or store this data externally, and has no technical means of doing so. The app contains no analytics, crash-reporting or third-party tracking libraries, and communicates with no server operated by AVA Systems.

Not currently in operation. The demo booking feature is disabled and is not accepting submissions. It has never been used to take a booking, and no booking data has been collected from anyone. The section below describes how the feature is designed to work, and will apply if and when it is brought into use.
Our website includes a "Book Demo" feature where visitors can choose a date and time and submit their name, email address, and a brief description of their venue to schedule a demo of AVA.
Unlike a simple enquiry form, this creates a real, scheduled booking. When you submit it, our server stores the booking (name, email address, venue description, and the date/time selected) in our own database, and automatically creates a video call for that time using Zoom's scheduling API. Zoom (Zoom Video Communications, Inc.) is a third-party video conferencing provider we use solely to host the call itself — the meeting title (which includes your name) and scheduled time are passed to Zoom in order to generate the meeting and its join link. Zoom does not receive your venue description.
We then automatically email you a confirmation with the Zoom join link, and a reminder email with the same link approximately 24 hours before the scheduled time. We also receive an internal notification of the booking.

Why we are allowed to hold it: we process booking data on the basis of our legitimate interests in arranging and conducting a demonstration you have requested, and in keeping ordinary records of our business enquiries. Where a booking is made as a step towards entering into a contract, we also rely on that basis.
How long we keep it: booking records are retained for 24 months from the date of the demo, after which they are deleted. If a booking leads to an ongoing customer relationship, the relevant records are kept for the duration of that relationship and for six years afterwards, in line with normal business and accounting requirements.
Transfers outside the UK: Zoom Video Communications, Inc. is based in the United States, so the meeting title (which includes your name) and the scheduled time are transferred outside the UK in order to create your meeting. Zoom provides for such transfers through its standard data protection terms, which incorporate the International Data Transfer Addendum to the European Commission's standard contractual clauses. No other booking data leaves the UK.
Booking records are not sold, and are not shared with third parties for marketing purposes. If you would like your booking record deleted, contact us using the details below.
AVA Systems does not sell personal data to third parties, and does not share it with third parties for marketing purposes.
At present AVA Systems shares no personal data with any third party. The only exception would be Zoom, used solely to deliver the video call for a booked demo — see Book a Demo above — and that feature is not currently in operation.
Data held in our app. Data entered into AVA Pro — on iPhone, iPad, or Mac — is stored in the using organisation's own Apple iCloud account and is not accessible to AVA Systems. That organisation is the sole data controller for it, and any request regarding access, correction or deletion should be directed to them rather than to us.
Data we hold ourselves. With the demo booking feature disabled, AVA Systems is not currently collecting or holding personal data about visitors or customers. Where we do hold your personal data, you have the right to request access to it, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format. Where we rely on consent, you may withdraw that consent at any time. To exercise any of these rights, contact us using the details below.
Complaints. If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
